Project Logistics Coordinator (Malaysia)

Join us at Blue Water Shipping as a Project Logistics Coordinator (2-year contract) in our FPSO team in Malaysia (Johor Bahru), where you will be based at a client's site and play a key role in coordinating project deliveries, managing logistics documentation, monitoring shipment progress and ensuring the timely delivery of shipments.

Your Role

1. Logistics Coordination & Delivery Management

• Coordinate all inbound deliveries to site (equipment, materials, modules, etc.)
• Monitor shipment status from origin to final delivery
• Liaise with freight forwarders, transporters, vendors and general contractors on delivery schedules
• Ensure alignment with site readiness and installation timelines

2. Expediting & Schedule Control

• Actively follow up on critical shipments to avoid delays
• Identify potential risks to delivery timelines and escalate early
• Work closely with vendors and logistics providers to expedite shipments where required
• Maintain delivery trackers and milestone reporting

3. Site Interface & Planning

• Coordinate with site construction and installation teams on delivery sequencing
• Manage delivery booking slots and site access requirements
• Ensure proper planning of offloading, lifting, and placement activities
• Support traffic management and site logistics flow

4. Documentation & Compliance

• Ensure all shipping and delivery documentation is in order prior to arrival
• Coordinate customs clearance status (where applicable)
• Track and manage delivery documentation, DOs, packing lists, etc.

5. Issue Resolution & Troubleshooting

• Act as first point of contact for logistics and technical-related issues on site
• Resolve delivery discrepancies, damages, or missing cargo
• Inform the development team of any delivery or technical issues that may impact the overall schedule and arrange a workshop to resolve with the relevant SME’s.
• Coordinate corrective actions with relevant stakeholders

6. Reporting & Communication

• Provide daily/weekly logistics status updates to Project Manager
• Maintain clear visibility on shipment pipeline and site deliveries
• Support coordination meetings with logistics and project teams

Your Background

• At least 2 years of experience in freight forwarding or a related logistics role
• Good understanding of international freight forwarding processes 
• Excellent communication and stakeholder management skills, with the ability to build effective working relationships with customers, vendors, agents, and internal teams
• Highly organized and detail-oriented, with the ability to maintain accurate logistics documentation
• Ability to work in a dynamic environment and perform effectively under time pressure
• Resilient and adaptable, with the flexibility to support operational requirements beyond regular business hours when required
• Good communication skills in English
• Collaborative team player with a proactive attitude 
• Willingness to travel when required
